Project Quoting & Invoicing (beta)

OneDesk now offers the ability to issue Quotes for the work you do for clients. These quotes, once accepted, can be turned into invoices. If you are using QuickBooks Online, you can even get paid. There are a lot of details to unpack in these features, but here are some of the highlights:

  • Time and Materials Projects. You can designate a project as being for a specific customer, and specify that you will charge based on the work you perform in the project. You can then add the work performed in the project to the invoice, and invoice the customer for this.
  • Flat-fee Projects. Flat-fee projects do not depend on the work performed. Instead, you can create a detailed quote for the entire project. If the customer accepts the quote it can be transformed into an invoice and issued.
  • Cross-project Invoices. These allow you to collect work onto an invoice from across several projects. Use these if you have several ongoing projects for a customer that you wish to invoice as you go.
  • Easily generate Quotes from Templates. Whether you are billing based on flat-fee or T&M, you often need to generate a detailed quote or invoice for your client. OneDesk makes this easy by allowing you to select the template project, select the ‘Invoice Structure’ and generate the Quote.
  • Customer approval of Quotes. Customers can accept quotes easily by simply clicking a button. This will then allow you to transform it to an invoice and send it out for payment.
  • Flexible Quoting/Invoicing rates. There are many ways to bill for the work you do. OneDesk has many flexible invoicing rate-structures allowing you to invoice by task, task type, service type, team, customer rate, and more.

There’s so much more to say about the Financials features in OneDesk. We will be writing articles and blog posts with a lot more info in the coming weeks. This functionality is under active development, so please let us know if there is something you would like us to consider.

New Email Template

In an effort to have more consistency on how emails are displayed in the multitude of different email clients and across devices, we have upgraded our email templating. Those who know email, know how tricky this can be, with each client supporting their own subset of HTML/CSS. We feel that our new template should solve many of these inconsistencies, but if you notice any new email display issues, please let us know ASAP and we will fix.

Microsoft Integrations

OneDesk has a variety of Microsoft 365 Integrations to help our customers work more seamlessly in a Microsoft environment.

MS Teams (beta)

OneDesk has an MS Teams integration allowing you to receive and respond to tickets directly within Teams. (The integration is currently only available upon request). 

Outlook Calendar

OneDesk supports Outlook using a new iCal integration. This 2-way integration will sync your OneDesk Calendar to you Outlook calendar, allowing for your OneDesk tasks to appear in Outlook, and your Outlook events to show inside OneDesk. OneDesk uses your Outlook events to help inform your availability.

OneDrive/SharePoint

You can link to or upload files shared in your OneDrive/SharePoint account to a ticket or task in OneDesk. When you are linking, the integration will generate a shareable link and put it on the item.  

Email

An integration with your Microsoft 365 email, allows you to send and receive tickets, tasks, and conversations directly from your own email accounts using IMAP and SMTP. Emails received at your own inboxes become OneDesk tickets, and replies sent from OneDesk go out via your own email. 

Active Directory/Azure

Onboarding your users and teams is now simplified with our AAD integration. Just authenticate, and select the users and teams you want to bring into OneDesk.

Other Enhancements

New Visibility Option in MFOD: Now you can limit what customers see on the Mobile-Friendly OneDesk based upon the individual as follower or the company as follower.

Set Custom Field to current date: Automatically set a custom field to the current date. This is useful when you have an automation taking action and you want to record exactly when this action took place.

Project Requester: We have introduced a new ‘Project Requester’ property. Now when you set the Requester (customer organization) on a Project OneDesk knows that the work performed is FOR that customer, and can invoice/quote accordingly. Be careful setting this as it cannot be changed later. However if you don’t set it initially it can be set later.

New Permission – Edit your own Timesheets: When this permission-level is given to a user it allows them to edit their own timesheets, even if they are not Admin.

Language for new accounts:

New users can now select the Account Language when they sign up. This not only puts the account in their language, but also sets the values for editable properties and sample date in that language too.
