OneDesk – Timesheets & Timesheet Automation

You can create multiple timesheets at once in OneDesk, as well as run automations on your timesheets to streamline your workflow. Let’s go through how to create several timesheets at the same time, as well as an example automation for our timesheets.

Creating Multiple Timesheets

There are several ways to create timesheets in OneDesk, be it through the item’s detail panel, the add button at the top of the screen, or through the actions menu in the dashboard. When you go to submit a timesheet inside OneDesk by any of these methods, you can choose to create additional timesheets in the same window by selecting the “Add another timesheet” button at the bottom of your existing timesheets.

Additionally, if you are creating timesheets through the dashboard actions menu, timesheets will automatically be created for all items you have selected. For example, if I select the following three tickets and choose to add timesheets, I will start off with three timesheets in the creation screen. Additional timesheets can still be added with the button, or removed, as needed.

The timesheets can have their details changed as needed, such as what item they will be submitted for, the hours worked, start and end dates, lifecycle status, notes, and more. If you are creating multiple timesheets with similar details, you can copy aspects of one timesheet to all other timesheets by hovering over the field you would like to copy and selecting the “copy to all” option.

When you are done, you can submit your timesheets, or submit all timesheets as 100%. This setting will automatically set the percent complete of all affected items to 100%. Any automations that are triggered by such a change, such as updating the status of the item, will be applied afterwards, as a result.

Automations for Timesheets

Automations are actions which are automatically undertaken when a trigger for a given item is met inside OneDesk. Automations can be made to streamline a wide variety of processes that you and your organization face on a daily basis. Automations can be run on tickets, tasks, projects, and timesheets.

Let’s create an automation for timesheets with the timesheet automation tool. First select more applications, administration, and then timesheet options. Here you can scroll down to create automations which run on timesheets.

Let’s make an automation which will run on billable timesheets, such that when the timesheet is approved an email is sent to a payroll user in our company.

We’ll have the automation run on timesheets filtered to be only timesheets marked billable. Our trigger will be when the approval status changes to approved, and the action will be to send an email template saying a billable timesheet has been approved to our payroll user. Select save, and our timesheet automation is active and will begin sending out messages when its conditions are met.
