You can archive tickets and tasks in OneDesk manually or automatically. If you already have a collection of work items that need to be archived, you can manually archive them by completing these steps.
First, we need to create an archive project to place all of these items into. From the top navigation, click Add, then project and create a new archive project. I’m gonna call this one ‘Archive Tickets’. Click ‘Create’. Once the new project is created, let’s navigate into our tickets application. From here, click on the flat view to see your list of tickets in a clearer view. Then, filter down to the tickets you want to archive. For me, I’m going to want to archive any tickets whose status has been marked as finished.
With my filtered view created, I am now seeing only the tickets I want to archive. I can select all the tickets in this view by checking the top ticket in the list, holding down the shift key, then selecting the last ticket in this list. You should see that all of them are now selected. Now, I can click Tools and select ‘New Macro’. From this screen, I can select to move them into my archive project. Next, click on the projects application. From here, click on the action menu next to the archive project and select ‘Archive Project’. Once I hit ‘Archive’, the project and its contents will be archived.
If you would like to automate the process of archiving your tickets, you can do that in the following way. First, create a new archive project. Then, navigate to the administration section and click on the tickets or tasks application. Under workflow automation, click ‘Create Workflow Automation’. Here, you can define what items you would like to archive. For example, I would like to archive any tickets that are marked as finished. For the action, select to move these items into the archive project you just created.
Now, navigate to the projects application. Click on the action menu next to the archive project and select ‘Archive Project’, then click ‘Archive’. Now, the project and its contents will be archived. With this workflow automation in place, the automation will sort the work items that you specify into the archived project automatically.
